ISO 9001 SOP Template & Requirements Guide
A plain-English guide to ISO 9001 SOP requirements. Covers documented information, the process approach, risk-based thinking, and how to write SOPs that align with ISO 9001:2015 clauses 4–10.
What is ISO 9001:2015?
ISO 9001:2015 is the international standard for Quality Management Systems (QMS). It provides a framework for organizations to demonstrate their ability to consistently provide products and services that meet customer and regulatory requirements. SOPs are a core part of the "documented information" that ISO 9001 requires.
ISO 9001 documented information requirements
ISO 9001:2015 requires organizations to maintain documented information to support the operation of processes and to have confidence that processes are carried out as planned. This includes:
- Scope of the QMS (Clause 4.3)
- Quality policy and objectives (Clauses 5.2, 6.2)
- Process descriptions and procedures (Clause 4.4)
- Risk and opportunity registers (Clause 6.1)
- Operational planning and control procedures (Clause 8.1)
- Inspection and test procedures (Clause 8.6)
- Nonconformity and corrective action records (Clause 10.2)
The process approach to SOP writing
ISO 9001 promotes a process approach: every activity is viewed as a process with inputs, outputs, resources, and controls. When writing SOPs aligned with ISO 9001, structure each procedure around:
- Inputs: What materials, information, or prior process outputs are needed
- Process steps: The sequence of activities with clear responsibilities
- Controls: Quality checks, inspections, and monitoring points
- Outputs: The expected result and records to retain
Risk-based thinking in SOPs
ISO 9001:2015 requires risk-based thinking throughout the QMS. In practice, this means your SOPs should identify potential risks at each process step and define preventive controls. SOP Studio's AI can help identify these risks and generate appropriate quality and safety control sections.
ISO 9001 clauses 4–10 overview
- Clause 4 — Context of the Organization: Internal/external issues, interested parties, QMS scope
- Clause 5 — Leadership: Top management commitment, quality policy, roles and responsibilities
- Clause 6 — Planning: Risk and opportunity actions, quality objectives, change planning
- Clause 7 — Support: Resources, competence, awareness, communication, documented information
- Clause 8 — Operation: Product/service requirements, design, production/service provision, release
- Clause 9 — Performance Evaluation: Monitoring, measurement, analysis, internal audit, management review
- Clause 10 — Improvement: Nonconformity, corrective action, continual improvement
How to write ISO 9001-aligned SOPs
- 1. Define the purpose and scope — What process the SOP covers and its boundaries.
- 2. Identify roles and responsibilities — Who performs, verifies, and approves each step.
- 3. Document the procedure — Numbered steps with clear instructions and acceptance criteria.
- 4. Define quality controls — Inspection points, measurement methods, and acceptance criteria.
- 5. Specify records — What records are generated, who signs them, and how long they are retained.
- 6. Review and approve — Reviewed by process owner, approved by quality manager.
